Protecting Your Privacy

The Far North Queensland Hospital Foundation (FNQHF) is committed to providing the highest level of service to our supporters, volunteers, and the wider community. Protecting your privacy is important to us. FNQHF is a Queensland statutory body and must comply with the Information Privacy Principles (IPPs) outlined in the Information Privacy Act 2009. 

Collection and Use of Personal Information

FNQHF collects personal information about supporters, volunteers, and donors.

The type of information collected generally includes:

  • Name, address, and contact details
  • Telephone or mobile number and email address
  • Date of birth
  • Donation and support history
  • Credit card payment details (processed securely through a payment gateway)
  • Research from public documents
  • Contacts made with FNQHF
  • Information required for accountability to government audits

FNQHF does not assign or use unique identifiers unless operationally necessary and does not use government-issued identifiers (eg Medicare numbers) unless authorised.

Anonymous Giving

FNQHF accepts anonymous donations, but tax receipts cannot be issued for these contributions. Donors can request to remain publicly anonymous if they prefer.

Personal Information of Employees

FNQHF collects personal information for employees, including banking and taxation details, recruitment and employment history, medical records and disciplinary information. Access to employee records is restricted to the CEO and Financial Controller. Employee personal information may be collected and used for payroll and administrative processes and employment-related documentation.

Personal Information of Vendors

FNQHF collects personal information to facilitate business processes, including payment and contact details. Access to this information is limited to the CEO, Financial Controller, and relevant administrative staff.

Personal Information of FNQHF Board Members

FNQHF collects personal information about its Board members to meet governance requirements. This includes contact details, employment history, and correspondence with government authorities.

Sources of Personal Information:

FNQHF collects personal information directly from individuals, unless it is impracticable, and, where specified, indirectly from other sources.

Personal information may be collected from:

  • Directly from individuals via phone, mail, web, email, or in person
  • When individuals make an online donation or register for an event or as a volunteer
  • From third parties who refer individuals to FNQHF including but not limited to Good to Give, Designa, Facebook, Paypal, Fundraisin, Grassrootz, Play for Purpose
  • From publicly available sources such as directories or media

Storage and Security:

FNQHF is committed to protecting personal information from misuse and loss, and from unauthorised access, modification and disclosure. FNQHF takes reasonable precautions to safeguard information from misuse, loss, and unauthorised access.

FNQHF uses industry-standard security measures to protect your information.  Your data is stored securely on servers located in Australia.

FNQHF staff members are responsible for managing collection and storage of personal information in compliance with the Information Privacy Act and this Privacy Policy. Strict security procedures are in place for the management of this information, and all employees sign confidentiality agreements before gaining access.

FNQHF uses a secure payment portal for all payment processing, ensuring that no credit card data is stored on any FNQHF servers or sites.

Use of Personal Information:

FNQHF collects and uses personal information that is necessary to carry out its functions and activities, including but not limited to:

  • collecting and managing past, present, or potential donations to FNQHF;
  • conducting fundraising events and campaigns supported or sponsored by FNQHF;
  • supporting past, present, or future patients of the Cairns and Hinterland Hospital and Health Service (CHHHS) and Torres and Cape Hospital and Health Service;
  • promoting medical research and social enterprises including through grants and research support;
  • advocating on behalf of public hospitals and health care centres in Far North Queensland;
  • carrying out social enterprises including but not limited to carparks, cafes, coffee kiosk, catering services and vending;
  • ancillary general functions, events, or promotional activities or communications including thanking supporters and donors for their contributions, marketing FNQHF activities, keeping supporters informed of the impact of community support and notifying supporters of upcoming events and appeals.

The purpose of collecting, storing and using personal information is to enable FNQHF to carry out its functions and activities in line with its mission of improving health care services and facilities through donations, sponsorships, and community support.

Disclosure of Personal Information

FNQHF does not share personal information with third parties except as set out below, or otherwise as necessary to carry out its functions and activities, or as required by law or other legal processes.

FNQHF may disclose personal information to:

  • Authorised representatives or advisors upon written authorisation
  • Professional advisers, including accountants, auditors, and lawyers
  • Government and regulatory authorities as required by law
  • Appeal mailing houses
  • Telemarketing companies for database updates

Forms and guidelines used by FNQHF that collect personal information will specify any additional third-party disclosures.

Supporters can opt out or unsubscribe from FNQHF communications at any time via the website or link at the bottom of email communications. Donors can request to be marked as "no mail" in our database to stop receiving correspondence while maintaining their donation history.

Access to Personal Information

Individuals may request access to, correction of, or deletion of their personal information at any time by contacting the FNQHF CEO at (07) 4226 6553 or via email at ceo@fnqhf.org.au.

Requests will be responded to as soon as possible.

Website Use and Cookies:

"Cookies" (small text files placed on your computer when individuals first visit the FNQHF website) may be used on some parts of the website. Most browsers now recognise when a cookie is offered and permit visitors to refuse or accept it.

When visitors access the FNQHF website, the following information is logged for statistical purposes:

  • User’s server address
  • Top-level domain name (e.g., .com, .gov, .au)
  • Date and time of visit
  • Pages accessed and documents downloaded
  • Previous site visited
  • Browser type

No attempt is made to identify users except where required by law enforcement agencies.

Complaints and Review Procedure

If an individual believes that their personal information has not been handled in accordance with the Information Privacy Principles or this Privacy Policy, they can request an internal review. Requests must be made in writing within six months of the suspected breach.

Requests will be acknowledged by FNQHF within 14 days of receipt and will be processed within 60 days. Requesters will be notified in writing of FNQHF’s decision.

If dissatisfied with the outcome, individuals can lodge a complaint with the Office of the Information Commissioner:
